What personal data do we collect and why?

The maintenance of the user register is based on the justified interest of the registrar (customer relationship) and / or the user’s own consent; personal data is collected in the following ways:
• The user has purchased / booked entrance tickets to the events of the Baltic Circle festival
• Other contractual relationship, e.g. the user has registered as a subscriber to the Baltic Circle festival newsletter
• The user has participated in the marketing campaigns of the Baltic Circle festival

Personal data is processed for the following purposes:
• Delivery of admission tickets ordered by the customer and management of the customer relationship
• Direct marketing
• Customer communication

Collected information and data sources

Personal data is collected primarily from the users themselves, and data collection may also take place through the technical implementation of the Service automatically.

Data provided by the registrant and information contained in the customer register include either all or only some of the following, depending on the situation:
• Surname and first name
• The name of the organisation they represent
• Email address
• Postal address
• Telephone number
• Information on the reserved / purchased products
• Reservation number
• Customer ID

Shop

We collect information about you at the checkout:

Location and IP address: We use these to estimate the amount of taxes and shipping costs
Shipping address: We ask this so that we can estimate the shipping costs before you place the order and finally ship the order.

When you buy from us, we ask for information such as name, billing address, shipping address, email address, phone number, credit card or payment information. We need this information to do the following:

  • Send information about your account and order
  • Respond to your requests, including refunds and complaints
  • Process payments and prevent fraudulent activity
  • Comply with all legal obligations, such as paying taxes
  • Improves the store’s supply
  • Newsletter subscription form

You can order our newsletter through our website. On the order form, we ask for your name and email address. We use the MailChimp service for newsletter subscriptions. MailChimp acts as a personal data processor in accordance with the agreement it made with the controller. MailChimp is partly responsible for compliance with data protection legislation. Personal data can also be processed by the processor outside the EU and EEA, but the processor is committed to complying with the obligations of the EU data protection regulation in data transfers in its processing activities.

How long we store information

Data collected in connection with the booking or purchase of a ticket is retained in accordance with the Accounting Act (Finland) for a period of six years. Data collected when a person registers for the Baltic Circle Festival’s customer register, meaning signing up for the mailing list, will be kept in the Baltic Circle Festival customer register until the customer notifies that they want their information off the list, or until the provided information is seen to be inaccurate or outdated.

Your rights on your personal data

The person in the register has the right to verify their data, as well as the right to rectify the data and remove it. The user has the right to restrict the processing of data and to object to its processing. The user also has the right to refuse direct marketing and the right to withdraw consent. The user can request a ban on profiling, in which case their data cannot be used for direct marketing and targeted advertising. If a person wishes to check their stored data, or to request supplementation / correction, or request the deletion of their data from the register, requests shall be submitted in writing to the registrar.

Where your data is sent

Personal data may be transferred outside the EU or the EEA for the purpose of producing and providing services.

Baltic Circle uses the MailChimp e-mail service in its email communication, and Google’s document management services. MailChimp is a service of The Rocket Science Group, and Google is a U.S.-based company, which means that the use of these services transfers some personal data outside the European Union. The data content transferred to the United States includes the person’s first and last name, e-mail address, place of residence, products ordered / reserved, and information on the context the said information was collected in.

The transfer of data to the MailChimp service is always based on the consent of e-marketing and consent may be revoked at any time.

At the Baltic Circle Festival, data can only be processed by the people whose job description it belongs to and the data is treated confidentially. The register is handled with care and the data is protected duly.

We may change this privacy statement from time to time. Changes can also be based on changes in data protection law. We will notify you of any changes through our services and / or via the email address received from the user.
